Amazon backorders for NYP books

June 25th, 2008

Source: Change in Amazon EDI specification for 850 PO

What does it mean to me?

Formerly the Amazon specification stated that the code Y in the 850 PO CSH segment would instruct to backorder only out of stock, thereby cancelling not yet published books. As of June 22, that specification was changed so a code of Y would also backorder not yet published books.

This means that Not Yet Published books might have been cancelled without you realizing it.

What can I do?

UnitechEDI clients should [Update software] from the UnitechEDI dashboard. Not yet published books on orders processed after the update will be backordered instead of cancelled.

This is our best thinking on this matter. For confirmation you should contact your Amazon representative. For more information contact (800) 330-4094 or support@unitechedi.com

EDI Chargebacks

June 4th, 2008

Source: email from Ingram Accounts Payable about EDI Chargebacks

What does it mean to me?

Ingram would like you to receive an EDI file which will contain shortages and price/discount chargebacks by EDI rather than hardcopy. This is similar to the Returns Chargebacks EDI document that you might already be receiving from Ingram.

What can you do?

Unitech is working on the programming to allow you view this EDI file (X12 812) as an Excel worksheet. No additional software will be needed from your fulfillment system vendor. We already have this ready for Barnes & Noble, and expect to have the Ingram version ready by July 1, 2008. Please let us know if you would like us to send you a price quote for your approval.

This is our best thinking on this matter. For confirmation you should contact your Ingram representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

EDI Initiatives

Source: email from Baker & Taylor concerning EDI compliance

What does it mean to me?

Baker & Taylor wants publishers to be able to receive Electronic Purchase Orders and send Electronic Purchase Order Acknowledgements, Electronic Invoices, and Advance Ship Notices within a specified time frame in order to avoid a service charge.

What can you do?

UnitechEDI provides software to allow you to become compliant with all of these EDI documents. For ASN, we can interface with your existing Warehouse Management System, or we can suggest to you a WMS already working with our EDI software. Please call us to discuss your needs. 800 330 4094 ext 804

This is our best thinking on this matter. For confirmation you should contact your Baker & Taylor representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

824 Application Advice

May 7th, 2008

h1xhome21.gif

Source: email from Follett concerning the 824 EDI document

What does it mean to me?

The 824 application advice document explains why a document that you sent, such as an 810, 855, or 856 failed. It lets you know quickly, for instance, that an invoice that you submitted will not be paid for a technical reason. It differs from the 997 functional acknowledgement which tells you if a document was received or received with errors, in that it provides the detail needed to correct the document and resend it. In some cases this is the only way that you would know that there is a problem.

What can you do?

UnitechEDI provides software to allow you to receive the 824 document and view the results. No changes to your fullfillment system are needed.

This is our best thinking on this EDI Trading Partner Compliance matter. For confirmation you should contact your Follett representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

Milk run template

May 6th, 2008

Source: Email from Amazon.com with a worksheet titled ‘Milk run template’

What does this mean to me?

Amazon would like you to fill out this template if you are part of their pilot ‘milk run’ freight program.

UnitechEDI clients can answer question 2 as follows:

Yes, via FA

UnitechEDI clients can answer question 3 as follows:

Accepted, not on backorder – YES

Accepted, but on backorder – YES

Accepted, but substituted – NO (Amazon usually does not want subsitutes)

Rejected – YES

How are they informing this?

Via 855 POA acknowledgment codes as per the Amazon specification.

This is our best thinking on this EDI Trading Partner Compliance matter. For confirmation you should contact your Amazon representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

EDI Returns

May 4th, 2008

Source: email about EDI returns from Ingram Accounts Payable dept dated February 23,2007

What does it mean to me?

Ingram would like to replace the hardcopy report of returns with an EDI file. This would be more timely and also allow you to integrate the data with your fulfillment system if you wish.

What can I do?

UnitechEDI provides software to allow you to receive this EDI file and translates it into an Excel worksheet which can easily be read or a file to be imported into your fulfillment system.

This represents our best thinking on this matter. For confirmation you should contact your Ingram representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

ASN Receiving

May 3rd, 2008

baker_and_taylor1.gif

Source: email from Baker & Taylor Merchandising Dept dated March 31, 2008

What does it mean to me?

If you do not already provide ASN (Advance Ship Notice) to Baker & Taylor you will need to provide them with an estimated date when testing will begin and an estimated date when ASN will be implemented. The goal is to have all major vendors ASN compliant by September 2008.

What can I do?

If you are not familiar with ASN, the UnitechEDI website News section contains several articles which explain it clearly. UnitechEDI already has a number of publishers live with ASN and supports an interface with the major Warehouse Managments (WMS) systems. If you do not have a WMS system or you are looking for a new WMS system, we can suggest a system to meet your needs and allow you to provide ASN.

This represents our best thinking on this matter. For confirmation you should contact your Baker & Taylor representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com

Baker & Taylor Books – EDI 820

May 3rd, 2008

baker_and_taylor1.gif

Source: Email from Accounts Payable Dept dated April 23, 2007

What does it mean to me?

As of July 1, 2007 Baker & Taylor will discontinue sending Excel files containing remittance advice.

What can I do?

If you would still like to get that information, UnitechEDI can provide the software to translate the EDI file into a plain English readable report and an Excel worksheet. No changes are needed on your Fullfillment system.

This represents our best thinking on this matter. For confirmation you should contact your Baker & Taylor representative. For more information you can contact UnitechEDI at (800) 330-4094 or info@unitechedi.com
