New PO Cancellation Process

The Amazon PO cancellation process changed at the end of September 2010. We would like to share the changes you may have already seen:

The ‘POs with Items to Cancel’ section currently displays POs with overdue items that would be cancelled if no availability and estimated ship/delivery date update was received.

We have changed this section to also include POs that Amazon is suggesting for cancellation.

  • When you click into an individual PO, you will see the items that need to be cancelled.
  • Unless the item is already shipped or an Advanced Shipment Notification (ASN) has been submitted, please select the ‘Accept Cancellation’ option and do not ship the product.
  • If the items are already in transit, please select the ‘Already shipped’ option and make sure you have submitted an ASN.
  • Once all the items in a PO are acted upon, no further action is needed. Items that you acknowledge with ‘Accept Cancellation’ will be cancelled within the system and appear in the ‘POs with Recently Cancelled Items’ section of the PO Management page.

To submit an ASN via Vendor Central, click on the Shipment Management option in the Vendor Central Orders tab and follow the instructions on the page.

New PO Delivery Window

As we continue to improve the availability of your products, we will be changing the information provided in your POs and will begin communicating the date by which stock is required to arrive in the Amazon Fulfilment Centres (FC).

Currently the information Amazon provides on your PO is when you are expected to ship the item. Going forward you will see a delivery window, identifying the earliest and latest date that stock should arrive at the FC. The delivery window is calculated based on your recent lead time history to each Amazon FC on an item level.

As such, please ensure you read through the information below and contact your buying representative if you have any queries. Once you begin receiving delivery window data, stock must be delivered to the FC specified on your PO within the delivery window.

When will the change be made?

All new POs raised on and after October 15 will include the delivery window.

What if I am a vendor with a fixed slot?

Please note that if you have a fixed slot and deliver on the same or next day, there will be no change to your current process and deliveries should be made as normal.

If you have a fixed slot and do not deliver on the same or next day, or are delivering stock on an account which does not require same or next-day delivery, your delivery must adhere to the delivery window and be made on your fixed slot.

What is the exact information you currently receive and what information will be displayed after the change?

Please refer to the document ‘Amazon New Ordering Process Delivery Window’ available in the Resource Centre on Vendor Central for this information – it is essential that you review this. Please note the information is split according to whether you receive your POs via EDI or via Vendor Central.

Please also be reminded that all booked deliveries to Amazon FCs must be booked in with an ASN number and all PO Expected Delivery Dates must be updated.
